Terms of Service

These terms govern your use of the Who’s on the Tee? web application at whosonthetee.app (the “Service”). By creating an account or using the Service, you agree to these terms.

1. What we provide

The Service is a tee-sheet generator, scoring, and sharing tool for golf societies. It generates suggested groupings using a constraint solver, lets organisers edit them, and lets players view and score rounds via shared links.

We don’t book tee times with golf clubs, process payments to clubs, calculate official handicap submissions, or guarantee that the schedule we produce satisfies every constraint perfectly. The compliance score on the tee sheet tells you how well the result matches your rules - read it.

2. Your account

You’re responsible for keeping your password safe and for activity on your account. If you sign in with Google, you authorise us to receive your email address from Google to identify you.

You must be at least 13 to use the Service and at least 18 to buy a paid plan.

3. Acceptable use

You agree not to:

  • Use the Service to send spam or unsolicited communications.
  • Upload personal data about other people without their permission. If you add a player’s email address, you confirm they have agreed to receive tee-sheet emails from you.
  • Attempt to break, disrupt, reverse-engineer, or probe the Service for vulnerabilities. Responsible disclosure of security issues is welcome - email hello@whosonthetee.app.
  • Use the Service for anything illegal, harassing, or harmful.
  • Resell, sublicense, or whitelabel the Service without our written permission.
  • Merge two member records unless you have confirmed they represent the same person. Merges affect all trip history within the society and cannot be undone.
  • Use the cross-society organiser-attestation flow (when no email is on file) unless you have actually spoken to the player and they have agreed to be added to the second society. Your name and the timestamp are logged, and you are responsible for that confirmation being true.

4. Plans, pricing and payment

The free plan is free forever: a basic tee sheet on every trip, up to 12 players and one round. Paid plans are £15 for a Trip pass, which covers one trip, or £59 per year for the Society plan. The first 100 paying customers get founder rates of £10 per trip and £39 per year. Your founder rate is locked in for good, whether or not you keep a subscription running without a break.

Payments are taken in pounds sterling by our payment provider, Stripe. The price shown at checkout is the total you pay.

We may change pricing for non-founder accounts with at least 30 days’ notice. A price change never applies to a period you have already paid for.

Upgrading from a Trip pass to the Society plan

If you upgrade while you still have the right to cancel your Trip pass, we refund what you paid for the Trip pass and charge the full price of your first year of the Society plan. You pay only the difference overall, and the Trip pass comes to an end.

If you upgrade after your Trip pass can no longer be cancelled, the Trip pass stays yours and we apply a credit for what you paid for it against your first Society plan payment.

Either way, the amount you will pay is shown before you confirm the upgrade.

5. Renewal and cancelling a subscription

The Society plan renews automatically each year through Stripe until you cancel. You can cancel at any time from your account page; cancellation takes effect at the end of the period you’ve paid for, and you keep access until then. A Trip pass is a one-off purchase and does not renew.

6. Your right to cancel (14-day cooling-off)

You have 14 days from buying to cancel, without giving a reason. We apply this whether or not the law requires it in your case.

When you buy, you ask us to switch the paid features on straight away instead of waiting until the 14-day cancellation period has ended. You also acknowledge that, if your Trip pass is fully performed during that period, your right to cancel it will end at that point. Until then, you keep your right to cancel for the remainder of the 14 days. For the Society plan, your 14-day cancellation right is unaffected.

When a Trip pass counts as fully performed

Your Trip pass is fully performed when the trip it covers has actually taken place: its last day has passed and scores have been recorded for each of its rounds. We record that at the time it happens, and it does not change afterwards. Editing the trip’s details later does not undo it.

If the trip does not go ahead, or its dates pass without scores being recorded for every round, the Trip pass has not been fully performed. Your cancellation right therefore continues for the remainder of the 14-day cancellation period.

If you cancel the Society plan within 14 days, we refund you in full.

If you cancel the Society plan within 14 days and you upgraded from a Trip pass, we refund what you actually paid for the Society plan. If we refunded your Trip pass when you upgraded, that is the full Society plan price. If we applied a Trip pass credit instead, it is the discounted amount you paid, and your Trip pass stays yours.

To cancel, email hello@whosonthetee.app or use your account page. Any clear statement that you want to cancel is enough; you can use the model cancellation form from the Consumer Contracts Regulations 2013 if you prefer, but you don’t have to. We’ll refund you within 14 days of your cancellation, to the payment method you used.

Separately from cooling off: if something you’ve paid for is faulty or not as described, you have remedies under the Consumer Rights Act 2015, including having it put right or money back. Contact us and we’ll sort it.

7. Service changes

The Service is actively developed: features evolve, and occasionally a feature changes or is retired. If we retire something that was a significant part of a plan you paid for, we will tell you in advance and offer a pro-rata refund for the unused part, or the option to cancel. We take routine backups, and you can export your data at any time from your account page - worth doing for anything you can’t afford to lose. We provide the Service with reasonable care and skill, but we don’t promise it will be uninterrupted or error-free, and our liability is limited as described in section 12. Nothing in this section affects your legal rights as a consumer.

8. Your content

You keep ownership of everything you put into the Service - trip details, player lists, scores, custom rules. You grant us a limited licence to store and display that content as needed to run the Service.

You can export your core data (members, trips, results, and payments) at any time from your account page. If you delete your account, we delete your content per the timeline in our Privacy Policy.

When two member records are merged, the organiser notes on the record being merged away are discarded unless the organiser explicitly chooses to keep them. Trip history from both records is moved onto the surviving record.

9. Our content

We own the Service’s code, design, branding, copy, and scheduling algorithm. You may use the Service for its intended purpose, but not copy it, redistribute it, or build a competing product from it.

10. Email

By adding a player’s email address to a trip or society, you confirm that player has agreed to receive emails from you via the Service: event-related messages such as tee sheets, RSVP invites and reminders, and occasional re-engagement messages from you as the organiser.

Every email we send on your behalf carries a one-click unsubscribe link. A single unsubscribe stops all email from that society - event-related and re-engagement alike; it is not a per-message or per-category choice. We honour it immediately and show it on your members list, so you can reach the player another way if you need to.

11. Suspension and termination

We may suspend or terminate accounts that breach these terms, abuse other users, or pose a security risk. Where it’s reasonable, we’ll give notice and a chance to fix the issue first. If we close your account for any reason other than your breach of these terms, we’ll refund the unused part of anything you’ve paid.

You can close your account at any time from your account page. We’ll delete your data per the Privacy Policy timeline.

12. Our responsibility to you

If we breach these terms or fail to provide the Service with reasonable care and skill, we’re responsible for loss you suffer that is a foreseeable result of that failure. We aren’t responsible for loss that isn’t foreseeable, or for loss caused by events outside our reasonable control - such as missed tee times, the cost of a trip, or disputes between members of your society.

Our total liability to you, across all claims combined, is capped at whatever’s higher: £100, or what you’ve paid us in the 12 months before your claim.

Nothing in these terms limits or excludes our liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited under English law, including your statutory rights as a consumer under the Consumer Rights Act 2015.

13. Changes to these terms

If we make material changes, we’ll email account holders at least 14 days before the change takes effect. If a material change disadvantages you and you have an active paid plan, you can cancel before it takes effect and we’ll refund the unused part of what you’ve paid, pro-rata. Continuing to use the Service after the change takes effect means you accept the new terms. The current version is always at this URL.

14. Governing law

The laws of England and Wales govern these terms, and you can bring a claim in the courts of England and Wales. If you live in another country, you keep the protection of any rules of your local law that cannot be excluded by agreement, and you may also be able to bring a claim in your local courts. If a court finds part of these terms unenforceable, the rest still applies.

Not affiliated with, endorsed by, or associated with the Ryder Cup, Ryder Cup Europe, or the PGA of America. “Ryder Cup” is used descriptively to refer to a style of team match play.
